Customizing Job Scheduling for Out of Order/Out of Service (OOO/OOS) Rooms


Understanding the OOO/OOS Workflow Logic

This feature is triggered when a user places a room into an OOO/OOS status using a specific code in the Property Management System (PMS). When this feature is Enabled, Optii looks at the OOO/OOS period (start date to end date) set in the PMS and automatically schedules a job (Departure or Check) based on your chosen Interval. 

Key Job Scheduling Intervals:

The Interval setting dictates when the job should be generated during the OOO/OOS period set in the PMS:

Interval Description of Job Scheduling Workflow Example
Daily The system schedules the selected job (Departure or Check) every day the room is OOO/OOS, regardless of how long it remains in that status. OOS set for 5 days jobs scheduled (one each day).
Interval The system schedules the selected job based on a specified frequency (e.g., every 3 days) during the period the room is OOO/OOS. OOS set for 9 days with a 3-day interval 3 jobs scheduled (on days 3, 6, and 9).
Last Day The system schedules the job only on the last day of the OOO/OOS period specified in the PMS. OOS set for 7 days job scheduled (on day 7) to prepare the room for return to service.
None The system does not schedule any job during the entire OOO/OOS period, regardless of the start and end dates of the status in the PMS. OOS set for any duration jobs scheduled automatically.

 


Step-by-Step Configuration Guide

Follow these steps to customize job scheduling for your OOO/OOS rooms:

  1. Access Settings:

    • Navigate to the main Settings menu in Optii.

  2. Go to Job Settings:

    • Under the section titled Configuration and Rules, click on Job Settings.

  3. Locate OOO/OOS Section under Job Scheduling/General:

    • Find the section titled Out of Order/Out of Service.

  4. Enable the Feature:

    • Toggle the Enabled switch to the ON position.



  5. Set the Trigger Time:

    • Define the Trigger Time (e.g., 12:00 AM). This is when Optii checks the PMS status and generates the scheduled jobs.

  6. Define the Trigger Status:

    • In the Out of Order field, select the specific room status (e.g., VAC_OUT_OF_ORDER) that is used by the PMS to trigger this scheduling.

Please note that each PMS will have a different OO/S Code. These are instantly communicated to Optii via the PMS Optii Integration. 

  1. Select Job Type for Status Change:

    • Under the chosen status, select the type of job you want to automatically generate: Departure (full clean) or Check (inspection).

  2. Set the Interval:

    • Select the desired interval that defines when the job should be created during the OOO/OOS period (Daily, Interval, Last Day, or None).

  3. Save Changes:

    • Ensure you save the configuration before exiting the screen to apply the new job scheduling logic.

Key Components:

  • Enabled Switch: Turns the automatic scheduling logic ON or OFF.

  • Trigger Time: The specific time of day the system checks for and generates the scheduled OOO/OOS jobs.

  • Out of Order: The specific status or statuses that will trigger the automatic job generation.

  • Job Type Selection (Departure/Check): Determines the type of job to be generated upon the status change.

  • Interval: Defines when the recurring job should be created (e.g., Daily, on a specific Interval, or only on the Last Day).
