Cancellation of Jobs — Rules & Expected Behaviour
Optii utilizes automation rules triggered by the Daily Job Creation (DJC) process and Property Management System (PMS) events to automatically cancel redundant or outdated tasks, ensuring your workload is accurate and efficient.
A. Task Cancellation During Daily Job Creation (DJC)
| Question | Answer |
| What happens to "Not Started" jobs during DJC? | Any job that is Not Started will be canceled during DJC. It will then be re-created and remain unassigned for the new day's workload. |
| Which jobs are NOT canceled during DJC? | Jobs that are In Progress, On Hold, or incomplete jobs with notes attached to them will NOT be canceled. They will remain as unassigned after the DJC runs, preserving work status and important information. |
B. Cancel Departure Cleaning Task Based on PMS Event
| Question | Answer |
| Why are Departure Cleaning tasks canceled by PMS events? | Optii automatically cancels Departure Cleaning tasks when a room receives a PMS status upgrade to Vacant Clean (VC) or Vacant Inspected (VI). This prevents cleaning tasks from remaining open when they are no longer operationally necessary. |
| What is the expected behavior when PMS upgrades a room to VI? | Optii cancels the Departure Cleaning task and accepts the VI status. |
| What is the expected behavior when PMS upgrades a room to VC? | Optii cancels the Departure Cleaning task, creates a Check task, and flips the room status to Pickup (PU). |
C. Cancel Inspection Task Based on PMS Downgrade
| Question | Answer |
| Why are Inspection tasks canceled by PMS downgrades? | When a room is downgraded by PMS to Dirty (VD or OD), Optii automatically cancels any open Inspection tasks. A corresponding cleaning task is created to reflect the new operational need. |
| PMS Downgrade: VC to VD | Optii cancels all Inspection tasks and creates a Departure Cleaning task. |
| PMS Downgrade: OC to OD | Optii cancels all Inspection tasks and creates a Stayover Cleaning task. |
D. Cancel Inspection or Check Task Based on PMS Upgrade to Inspected
| Question | Answer |
| Why are Inspection/Check tasks canceled by PMS Inspected upgrades? | When PMS upgrades a room to Vacant Inspected (VI) or Occupied Inspected (OI), Optii cancels any open Inspection or Check tasks for that room. This ensures no redundant inspection work occurs for rooms that are already verified. |
| PMS Upgrade: VC to VI | Optii cancels the Inspection task and accepts VI status. No Check task is created. |
| PMS Upgrade: OC to OI | Optii cancels the Inspection task and accepts OI status. No Check task is created. |
| PMS Upgrade: Pickup Room to VI | If a Check task exists on a Pickup room (VP or OP), and PMS upgrades it to VI, Optii cancels the Check task immediately. |
Note: All PMS-driven cancellation rules assume a PMS–Optii integration is enabled, and the PMS status is always the source of truth.
