Housekeeping Automation FAQs — Jobs Add on
Jobs add-on — Rules & Expected Behaviour
Overview
Job Add-ons in Optii allow properties to automate recurring in-room housekeeping activities (e.g., linen changes, towel refreshes) based on set operational rules.
| Question | Answer |
| What is the primary function of Job Add-ons? | To automate recurring housekeeping tasks (like linen or towel service) according to defined operational cadence rules. |
| What is the new enhancement to Job Add-ons logic? | Optii now ensures that Job Add-ons respect the guest’s reservation cadence and check-in date, even when new rules are created mid-stay. This prevents out-of-sequence job creation and aligns workloads accurately. |
| How does Optii calculate the schedule when a new rule is created mid-stay? | Optii references the guest’s check-in date, uses the defined cadence frequency (e.g., every 3 days), and schedules the new add-on only when the next valid multiple of the cadence from the check-in date is reached. |
| Example of Cadence Accuracy: | If a guest checks in on Saturday (Day 1) and a "Every 3 days" rule is created on Monday (Day 3), the first add-on will be scheduled for Thursday (Day 6), maintaining the correct 3-day cadence from check-in. |
A. Job Add-on Creation – Vacant Rooms
| Question | Answer |
| How is cadence determined for vacant rooms? | When a new Job Add-on rule is created for vacant rooms, Optii determines creation based on whether an existing add-on of the same type is already scheduled. |
| Expected Behavior (No existing add-on): | If no previous Job Add-on of the same type exists for that room, Optii will create the add-on immediately. |
| Expected Behavior (Existing add-on): | If one already exists, Optii will defer creation until the next scheduled cadence interval, using the timestamp of the last job creation as the reference point. |
B. Editing Existing Job Add-on Rules
| Question | Answer |
| What happens when an existing Job Add-on rule is edited? | When a user edits a rule (e.g., changing the frequency), Optii recalculates the cadence logic starting from the date of modification. |
| What is the new baseline for the cadence? | The edit date becomes the new baseline for the rule’s cadence sequence. |
| When are new add-ons created after an edit? | New job add-ons are created only on future cadence dates that meet the updated criteria. Edits do not affect past or currently active add-ons. |
