OOO/OOS Configuration and Management

Optii now accepts OOO (Out of Order) and OOS (Out of Service) codes from the PMS, mapping them to specific cleaning or inspection sequences. This ensures rooms with restricted status are handled according to configured operational needs, not just ignored.

A. Configuration of OOO/OOS Codes

Question Answer
Where are OOO/OOS codes configured? Housekeeping Managers configure these codes in Settings > Job Settings > Job Scheduling > OOO/OOS.
What behaviors can be assigned to an OOO/OOS code?

Managers can assign one of three required behaviors:

1. Clean – A cleaning task is required.

2. Inspect – An inspection task is required.

3. No Action – No task is created while the room is OOO/OOS.

What task frequencies can be set?

For Clean or Inspect behaviors, the frequency can be set as:

* Daily: A task is created every day.

* Last Day Only: Task is created only on the final day of the period.

* Range of Days: Task is created according to a user-defined day range.

B. Task Creation for OOO/OOS Rooms

Question Answer
When does Optii create tasks for OOO/OOS rooms? When a room is set to OOO/OOS with a configured code, Optii automatically creates tasks according to the assigned behavior and frequency (Daily, Last Day, or Range).
What happens if 'No Action' is configured? Optii will not create any tasks until the PMS restores the room to its normal, active status (e.g., VC, VD, VI).
Important Note on Task Creation: Tasks for OOO/OOS rooms are not created via DJC (Daily Job Creation). DJC ignores OOO locations to avoid unnecessary cleaning tasks. Tasks are created at the time of job creation specified in the OOO/OOS settings.

C. End of OOO/OOS Handling

Question Answer
How are tasks handled on the final day of OOO/OOS? For rooms configured with Clean/Inspect on Last Day, Optii creates the appropriate cleaning or inspection task on the final day of the period.
How does Optii prevent duplicate tasks? Optii checks if a task already exists (e.g., from a previous departure or an incomplete housekeeping task). If a task exists, Optii does not create a duplicate OOO/OOS task.

D. PMS Synchronization

Question Answer
Does the PMS override the OOO/OOS configuration? No. While tasks remain aligned with PMS updates, PMS status changes will not overwrite the configured OOO/OOS task behavior. Optii maintains operational alignment based on the specific OOO/OOS code configuration.
