How to start and complete a job with Optii

Completing a job in Optii is simple, and this article will explain your options from Start to Completion

 

Who is this for?

  • General Managers
  • Operation managers
  • Head of Departments as needed by corporate or property level

The Quick Path to Job Completion

  • Find the job that you are looking to work on by locating it in the status view or using the search bar:
  • You can locate the jobs by job name, location, or job ID.

  • Once located, select the job and notice that the job card will expand showing all information related to the job at hand.


Tip:

  • You will be able to see valuable information such as:
    • Name of the job being completed
    • Location of the job (Asset, Public Area Space, Back of house)
    • Status of the room
    • Start time/date of the job
    • Due-by time/date of the job
    • Department in charge of job completion
    • User in charge of completing the job (or unassigned in case no one has claimed the job)
    • Reservation information
      • Guest name, Reservation ID, check-in/check-out date
    • Room type

 

Once you are ready, select either Take or Take and Start:

    • Take' - Solid blue button, places the job is in "Assigned" status
    • 'Take and Start' - Outlined button, the job is "Assigned" and moved to 'In Progress' 

Tip:

  • Take and Start will have an impact on your team's productivity. Ensure to only hit this option once you are ready to start working the job at hand

 

Once the job is in Progress, you will have the following options:

  • Pause' - outlined button in blue, the job is moved to 'On Hold' indicating to the team that you are no longer working in this job. This will also not impact your productivity as the time spent in the 'On Hold' column will not be counted towards the completion time of the job
  • 'Complete' - solid blue button, the job is moved to 'Complete'

The following options are permission-based:

  • 'Cancel Job' - Selecting this option will move to the 'Done' column but continue to show as canceled in reporting 

  • 'Reopen Job' - Any job that is sitting in the 'Done' column can be reopened by selecting the option 'reopen' located at the bottom left of the job card
