The Job Module

This Optii's core service Product. In this module, you'll see the progress and status of all your guest requests, internal jobs, as well as your repeating jobs and project jobs.

Now, let's look at how your jobs are displayed. You'll see everything neatly organized into clear columns, using what's called a Kanban board representation. This visual layout makes it incredibly easy to track progress at a glance:


  • The "Not Started" column shows jobs that have been created or added but haven't been initiated by your colleagues yet.
  • Next, you'll see "In Progress" for jobs that are currently being worked on by your team.
  • Then there's the "Done" column, for all jobs already completed by your colleagues.
  • And finally, the "On Hold" column, for any jobs that haven't been able to be completed yet.

This intuitive, visual board makes it super easy to see exactly where everything stands with your guest requests or internal jobs! 

The different Job Status 'Views' in Optii Jobs

Within the Jobs module, you'll discover various valuable widgets and filters that help you manage operations efficiently. Let's explore them!

First, you'll see the Job Status View, which is our current default. To change this view, simply click on the spinner control next to "Job Status View."


My Jobs View

For instance, choosing "My Jobs View" will quickly show you only the jobs that have been specifically assigned to you, or jobs that you've created yourself. This helps you focus on your personal workload.

Important Note: Currently we are supporting Assigned Jobs for Housekeeping Jobs only. In the future we will also support Assigned Jobs fro Services Jobs, such as Guest Request, Internal Jobs.


The Timeline View for Housekeeping Management
Next, we have the Timeline View. This is Optii's dedicated Housekeeping product, specifically designed to manage all guestroom housekeeping jobs—like departures, stayovers, inspections, touch-ups, and much more. To delve deeper into this powerful product, we have full Getting Started Lessons specifically for Housekeeping. These are also available as optional learning at the end of this series for other heads of departments, super admins, and hotel managers who want a complete overview.


Repeatings Jobs View
Following that, you'll find the Repeating Jobs view. Here, you'll see all the recurring jobs your team has set up. This view provides a clear overview of each repeating job, including its name, location, department, frequency, and start and end dates.

As a manager, you can also easily edit or delete these repeating jobs, and quickly check their last and next occurrences. How cool is that for simplifying routine tasks!


Filters in the Job Status View

You'll also notice the filters in Optii, which are designed to help you find what you need quickly. For example, you can filter by department, role, or location to pinpoint specific jobs. 

You can also search by Job Types—for example, standalone jobs, repeating jobs, or project jobs. You can even filter by guest request or internal request, and utilize the sort-by capabilities as well as the search box to find specific jobs. And, you can also use toggles to display only Past Due Jobs Future Jobs. This is incredibly useful for managers needing to focus on particular areas or teams.

With Optii's intelligent automation, you can be sure that your highest priority guest requests and critical jobs automatically move right to the top of your list! This means your team is always focused on what matters most, ensuring prompt service and efficient operations. 


Job Details View
When you find a job, you can easily drill into its details just by clicking on it! You'll get all the necessary information at your fingertips.

💡 Here's a pro tip: You can also access various widgets available directly on the screen, like the multilingual widget. This is fantastic for hotel operations, as it allows you to instantly translate any notes or checklist items made in a different language than yours.  This ensures you can easily understand exactly what's needed, improving clarity and preventing misunderstandings across your diverse team.
