If you have not heard about Optii's Service Optimization, Engineering and Team Communication solution, you should check this out.

Easy Access to the Knowledgebase

We try to make it easier for you to have access to extra information, guidance - the how-to's and videos that help you and your team. We have therefore removed the need to log in with a username and password. So now, you can go directly into the Knowledgebase from the menu in Optii Keeper.

Quality Scores Are Changing!!!!!

Accueil - ChangeWe heard you! Many of our clients have asked for an improvement to the calculation of quality scores to enable clearer differentiation between good and poor performers. Depending on your hotel setup, even inspections with several inspection items unticked often reflected scores in the high ninety %.

This change will affect your existing scores by showing a lower value than you are used to. Please ensure to consider this for other reporting areas you are tracking.

We have now changed the calculation to divide the actual score by a maximum of 100%. For example: If the supervisor unticks an item worth 10 points (This is set in the configuration), this is deducted from 100% and the score is 90%.  An item worth 50 points makes 50%, 70 points is 30%, etc. You get the drift. By doing so, the quality scores are more predictable and you have more control over the outcome.

This change may require you to have a look at the deductions on your existing inspection checklist items.  If you are unsure of how to do so, we can help you here. If you would like some general guidance about what to set the deductions to, please contact your Success Coach.

'Extra Jobs' Report

During the Covid-19 crisis and possibly after, it is important to have access to a clear audit trail of infections taking place inside the rooms (contact tracing) and this report will do so for you.

We suggest that you set up an extra job for the various disinfection activities your property is undertaking during a room clean and set this to be performed every day. Your attendants then have to explicitly confirm that the disinfection was completed and you can use this report to provide a record of this.

Even without disinfections, this report allows you to report on any other extra jobs your RAs perform!

The report will tell you the date, time, and room number, as well as the name of the RA. It then tells you how many jobs were scheduled, how many were performed, and what they are.

'Other' is now more detailed in the Daily Activity Summary

The 'Daily Activity Report' now does not show simply 'Other' in the cleaning statistics section, but breaks it down into touch-ups and corrections, allowing you to see exactly how many inspections failed in one day and how many touch-ups were completed.

Stayover cleans can be scheduled on selected days

To keep guests and staff safe, many hotels do not provide stayover cleans for the foreseeable future in order to reduce the potential exposure to the virus. There are always exceptions to the rule that cause the complexity of managing rooms to increase considerably.

Optii has now been updated to handle this new challenge for you when creating the morning allocations.

With Optii you can configure the system to:

  1. Stop all stayover cleans.
  2. Schedule a stayover on an irregular basis, for example every 4 days (irregular cleans).
  3. If irregular, you can activate an override for certain VIP codes, so that your most important guests still get a daily clean.
  4. If irregular, you can also tell Optii to service rooms daily for guests willing to pay extra. In this case, front office can enter a specials code into the reservation and Optii will take care of it automatically.

To change your current setup to an option detailed above, simply follow this link to contact the Optii Helpdesk Team -- we are happy to assist!

Note: You can now also view the Specials Code in Optii's reservation details area.

Delayed Departure Cleans

To protect team members from any viruses potentially still alive on surfaces the guests have touched, many hotels choose to clean a room the day AFTER the guest checked out and leaving it vacant overnight. With viruses only able to survive a few hours on surfaces, this is thought to reduce the risk substantially.

Optii enables you to roll over these rooms automatically by excluding them from allocations on the day of departure.

To set this up, please contact Optii's HelpDesk by following this link.

'NSR' available for turndowns

Some clients noticed that it was not possible to set a turndown to 'No Service Required' on mobile devices. So we fixed it. Immediately. Check it out!

Need help on the fly? We have now made it even easier for you to obtain advice, guidance and help form Our HelpDesk.

ChatBubbleYou will see this icon in the bottom right of the Hub. Click on it and one of our HelpDesk attendants will start chatting with you.

We hope that method of communication will be more immediate and efficient for you. If you prefer the more traditional channels like email and phone, you can still contact us the same way - we do not care how you connect with us, as long as you do when you have a question!

Note: We are rolling this feature out over time, so you may not be able to see it immediately. But start looking forward to it - it will not be long!

What do you have to do now?

It is important though that you press the Control+Shift+R keys, all at the same time when you are first in the Hub to activate the update.

We’ll take care of updating the Hub for you, however, we also do recommend that you always update the mobile devices to the latest versions from the AppStore® and Google Play®.

So What About The 'Moonquakes?

Just as earth has earthquakes, the moon has—you guessed it—moonquakes. Less common and less intense than the shakes that happen here, moonquakes are believed by U.S. Geological Survey (USGS) scientists to occur due to tidal stresses connected to the distance between the Earth and the moon.
