Why do I have more departures in Optii compared to my Property Management System (PMS/Opera)?

It is completely normal for Optii to show a higher departure count than your PMS (like Opera). This happens because Optii is designed to be a safety net for housekeeping, ensuring no room that requires a clean gets missed.

While the PMS only counts active reservations checking out today, Optii automatically generates departure jobs for several other scenarios:

  • Vacant Dirty (VD) Rooms: If a room is vacant dirty with no reservation for today, it won't show as a departure in your PMS. However, Optii creates a departure job so housekeeping knows it needs to be cleaned.
  • Rooms Released from Out of Order (OO) / Out of Service (OOS): When a room is brought back into inventory, Optii automatically schedules a departure clean to ensure it is fresh for the next guest.
  • Rooms on Their Last Day of OO Status: Optii proactively schedules a departure clean for the final day of a room's Out of Order status so it is ready to go back online.

Summary: Your PMS counts people leaving; Optii counts rooms that require a departure-level clean.

When should we actually be concerned about a discrepancy?

You only need to investigate or escalate a discrepancy if:

  1. Jobs are completely missing from Optii that should be there.
  2. There is a status mismatch between the systems—specifically if a room is listed as Occupied Dirty (OD) in the PMS but shows up as Vacant Dirty (VD), Vacant Clean (VC), or Vacant Inspected (VI) in Optii.

If you notice these specific mismatches, please report them to support or your system administrator immediately to check the interface connection.
