Optii understands this and has developed a system of Job Names, colors, and symbols to streamline communication between the front desk (PMS) and housekeeping, ensuring rooms are serviced efficiently and guests have a seamless experience.

Let's break down this helpful system:

Housekeeping Jobs: A Color-Coded Guide

Optii uses a color-coded system to quickly communicate the type of cleaning required for each room. This visual cue allows housekeeping staff to prioritize and manage their workload effectively.

  • A) Departure Clean (Orange): This signifies a thorough cleaning of a room after a guest has checked out. It includes changing linens, cleaning the bathroom, vacuuming, and restocking amenities. Essentially, it's preparing the room for the next arriving guest. For brand standards regarding your departure clean process please contact your direct manager. 

  • B) Stayover Clean (Green): This is a lighter cleaning service for rooms where guests are staying for multiple nights. It includes making the bed, tidying the room, refreshing towels, and replenishing amenities as needed. For brand standards regarding your stayover clean process please contact your direct manager. 

  • C) Touch-up Clean (Blue): This brief cleaning service is typically requested by a guest for things like a quick refresh of towels or a tidy-up of the room. It's a less intensive clean than a stayover. For brand standards regarding your touch-ups clean process please contact your direct manager. 

  • D) Turndown Clean (Purple): This service, often offered in luxury hotels, prepares the room for the night. It typically includes turning down the bed linens, placing a small treat or amenity, and dimming the lights. For brand standards regarding your turndown clean process please contact your direct manager. 

  • E) Corrections Clean (Red): This indicates a room that requires immediate attention, perhaps due to a cleaning not perform correctly. For brand standards regarding your correction clean process please contact your direct manager.

  • F) Inspections (Dark Cyan): This signifies a room that needs to be inspected by a supervisor after cleaning, either after a departure clean or a stayover clean. This ensures quality and adherence to standards. For brand standards regarding your Inspections process please contact your direct manager. 

  • G) Check Tasks (Dark Crimson): This category covers any other tasks that need to be checked or completed by housekeeping that may not necessarily involve cleaning. This could include things like checking mini-bar stock, replacing light bulbs or other maintenance related tasks.

Reservation and Housekeeping Statuses: A Symbolic Language

Optii also uses abbreviations and symbols to denote both housekeeping and reservation statuses, providing at-a-glance information about each room.

Housekeeping Statuses:

  • VD: Vacant Dirty
  • VI: Vacant Inspected
  • VC: Vacant Clean
  • OD: Occupied Dirty
  • OC: Occupied Clean
  • OI: Occupied Inspected
  • OO: Out of Order (usually due to maintenance issues)
  • OOS: Out of Service (usually due to a longer-term issue, like renovation)

Reservation Statuses (Symbols):

  • Arrival: A person (guest) icon entering a door (room)
  • Departure: A person (guest) icon leaving a door (room)
  • In-House: A person icon in yellow.
  • Arrival + Departure: Both arrival (larger person image) and departure (smaller person image) icons are displayed.
  • Arrival VIP: Arrival icon with a star for "VIP" label.
  • Departure VIP: Departure icon with a star for "VIP" label.
  • In-House VIP: In-House icon with a star for "VIP" label.
  • Arrival VIP + Departure VIP: Both Arrival VIP and Departure VIP icons are displayed.

By understanding these Job Names, colors, and symbols, housekeeping staff can efficiently manage their daily tasks, ensuring that rooms are cleaned to the correct standard and that guests have a comfortable and enjoyable stay. This clear communication system is a cornerstone of efficient hotel operations.
