Inviting a Housekeeping Team Member to Optii

To invite a new user, follow these simple steps:

  1. Log in to Optii: Navigate to the Settings tab in the top right corner of the screen. This will open the User Management section by default.
  2. Invite User: Click on "Invite Users" and complete the required details for the new user.

  3. Send Invitation: Once all information is entered, click "Send Invite" in the bottom right corner. The user will receive an email invitation to complete their profile setup.

Inviting a User Without an Email Address

While an email address is typically required, you can use a workaround for team members without individual email addresses. Use your own email address with a plus sign (+) before the "@" symbol, followed by the new user's name.


Example: If your email is richard@housekeepings.com, you can create a user as richard+newuser@housekeepings.com.

💡 Tip: This method allows multiple users to be linked to a single email address, ideal for managing teams. Password reset links will be sent to the associated email address.

User Management Overview

The User Management section provides comprehensive control over your team's access. It is organized into four key categories:

  • Active: This list shows all users with current access to your Optii environment. To deactivate a user, select the checkbox next to their name and choose "Deactivate." You can deactivate multiple users simultaneously.
  • Inactive: This section displays all deactivated users. Note that inactive user data cannot be deleted, but you can reactivate a user at any time by selecting the checkbox next to their name and choosing "Activate."
  • Unsent Invites: This category contains users for whom invitations have been created but not yet sent. When you are ready, click "Send Invitation."
  • Pending Invites: This section tracks users who have received an invitation but haven't accepted it. You can resend the invitation or delete it by selecting the checkbox next to their name. Optii will then provide the option to "Resend Invite" or "Delete."

💡 Tip: If a housekeeping team member has not received their invite, ask them to check their spam or junk folder. It’s also a good idea to have your IT team whitelist Optii’s domain to ensure all important emails, including invites, are delivered successfully.

Quick Access Code: Immediate User Access

For situations requiring immediate user access or greater control over usernames and passwords, Optii offers the Quick Access Code feature. This allows you to bypass the invitation process and provide users with immediate access.
